Artificial Intelligence is transforming the workplace – but simply adding AI to your meetings isn’t enough.

That was the key message from our recent AI-Ready Meeting Environments webinar, hosted by Nuvias UC and Northamber Group, where partners joined us to explore how organisations can move beyond the AI hype and create meeting environments that genuinely improve productivity, collaboration and decision-making.

It’s Not About AI – It’s About Better Meetings

The session opened with a simple but powerful challenge:

Think about the last meeting you attended.

  • Did everyone leave knowing exactly what they needed to do?
  • Were actions clearly assigned?
  • If that meeting disappeared from the calendar, would the business be any worse off?

While collaboration technology has made it easier than ever to join meetings, many organisations still struggle to run effective ones. AI isn’t solving poor meetings – it simply highlights where they already exist.

AI Is Only as Good as the Meeting It Supports

Today’s AI platforms can automatically generate transcripts, summaries, actions and follow-up tasks, but they all rely on one thing: quality input.

Poor audio, unclear ownership, people talking over one another or vague decisions all reduce the value AI can deliver.

The webinar explored why successful AI adoption starts with creating environments where conversations are captured clearly and meetings are run with purpose – not simply deploying another AI licence.

The Six Pillars of an AI-Ready Meeting Environment

  • Visibility – Can it understand what’s happening in the room?

  • Behaviour – Are meetings structured to create clear outcomes?
  • Governance – Can organisations trust how AI handles their data?

Rather than focusing on products first, this framework helps partners understand customer challenges before recommending technology.

Better Audio = Better AI

One of the strongest themes throughout the session was the importance of audio quality.

Whether it’s a dedicated Microsoft Teams Room or a simple BYOD space, AI can only work with what it hears.

Sometimes improving AI performance doesn’t require replacing an entire meeting room. Upgrading microphones, improving speaker coverage or introducing better USB peripherals can dramatically improve transcript accuracy and meeting outcomes.

Matching Technology to the Customer

The webinar also explored how different meeting spaces require different solutions.

From compact desktop collaboration devices and BYOD meeting kits through to fully managed Microsoft Teams Rooms, the objective is always the same: match the technology to the way people actually work.

Rather than leading with product codes, successful conversations begin by understanding the customer’s meeting challenges, collaboration workflows and desired outcomes.

Turning Meetings into Organisational Knowledge

Perhaps the biggest shift discussed during the webinar is how AI is changing the purpose of meeting rooms.

Meeting spaces are no longer just places where conversations happen – they’re becoming environments that capture knowledge.

Every transcript, action, summary and decision can feed into collaboration platforms, CRM systems and organisational knowledge bases, helping businesses retain valuable information long after the meeting has ended.
